Application: Digital apartment check report
Objectives:
STADT UND LAND are introducing an application in the field of eWork. They plan to provide new services for the tenant respectively improve and enhance current services in respect of trust, confidence and usability. In addition the use of mobile devices will support the processes associated to these services and will lead to optimized and accelerated solutions.
STADT UND LAND is going to provide the following service in the field of EWork:
A. Digital Apartment Check Report
It is planned to introduce the service of a digital apartment check report for the tenants to:
- speed up the let and re-let process for apartments
- provide up-to-date information about the apartment
- provide secure digital apartment check reports
Details of the application:
Every year STADT UND LAND has to cope with more than 2700 tenants moving out of or into apartments. So far it was common to use a paper based protocol (9 pages) for the purpose of documentation. Relevant data concerning the configuration and condition of the apartment was written down by hand and many details were recorded more than once.
To improve this situation the realization of a digital apartment check report with the help of mobile devices is planned.
It will be possible to connect these devices via a secure wireless network connection to the companies ERP-System and download relevant data into the memory.
While checking an apartment the device will display all necessary information and fields and the property manager can change or add entries. At the end the application will generate a report out of the provided data.
To reach a high level of trust and confidence both the tenant and the property manager will sign the report directly on the display of the mobile device and if applicable use smart cards to verify their identity. Now the tenant can chose whether he prefers a printed version of the report (sent by post) or a digital one in form of signed e-mail.
Back in the branch office the mobile device is connected again to the ERP-system and information are synchronized.
In a first release it is planned to use mobile devices on the basis of WindowsCE and connect these with the help of special software to the companies ERP-system (Wohndata). In the second release we plan to introduce TabletPCs which provide much more functionality than the other devices and can match all trust and confidence criteria. It is planned to connect these devices to a new integrated ERP-system.
